Overview

Auction Champion(“we”, “us”) provides software that lets tournament organizers register players, collect registration fees and run live, points-based player auctions. This policy explains what information we collect, how we use it, and the rules that apply to payments and refunds made through the platform. By registering for a tournament or using Auction Champion, you agree to this policy.

For player data, the tournament organizer decides what to collect and how to use it for their event; we process that data on the organizer's behalf to provide the service.

Information we collect

  • Player registration details — name, phone number, photo, age or date of birth, playing category and style, T-shirt name/number/size, pant size, city and any other fields the organizer enables.
  • Payment information — amount paid, payment method type, gateway order/payment IDs, payment status, refund status and any payment proof uploaded during registration. Card and UPI credentials are collected by Razorpay, never by us.
  • Organizer and team owner accounts — name, email, phone, organization details and login credentials (stored hashed).
  • Auction activity — bids, team rosters, sold/unsold results and audit logs.
  • Technical data — IP address, device and browser information and basic usage logs, used for security and troubleshooting.

How we use information

  • To register players, generate player IDs and show player cards during the auction.
  • To collect registration fees, issue refunds and calculate organizer settlements.
  • To send WhatsApp/SMS messages about registration, payment, refunds and auction results.
  • To display public auction pages, spectator and projector screens (name, photo, category, team and bid points only).
  • To generate reports (PDF, Excel, CSV) for the organizer.
  • To prevent fraud, secure accounts and comply with legal and tax obligations.

We do not sell personal data and do not use it for third-party advertising.

Who we share it with

  • The tournament organizer (and team owners during the auction) for the tournament you registered for.
  • Razorpay, to process payments, refunds and settlements.
  • Messaging providers, to deliver WhatsApp/SMS notifications.
  • Cloud hosting and storage providers that run the platform for us.
  • Government or law-enforcement authorities when required by law.

Payments, charges, settlement & refunds

Online charge: 2.36% incl. GST

Organizer settlement: 3–5 working days after registration closes

Unsold / removed players: full refund

Refund reaches bank in: 5–7 working days

  1. Payment gateway

Online registration fees are collected through Razorpay, an RBI-authorised payment aggregator. Accepted methods: UPI (Google Pay, PhonePe, Paytm, BHIM) and debit/credit cards. Auction Champion never sees or stores your card number, CVV or UPI PIN; these are handled entirely by Razorpay.

  2. Registration fee

The registration fee is set by the tournament organizer and is shown on the registration form before you pay. A registration is confirmed only after the payment succeeds; failed or abandoned payments do not create a registration, and any amount debited for a failed payment is reversed by your bank or the gateway automatically.

  3. Online payment charge — 2.36% (inclusive of GST)

A 2.36% charge applies to every online payment (2% payment gateway fee + 18% GST on that fee). For each tournament the organizer decides who bears it: either the player pays the fee plus the charge, or the player pays only the fee and the charge is deducted from the organizer's settlement. The exact amount payable is shown before you pay.

  4. Settlement to organizers

Amounts collected online are settled to the organizer's registered bank account within 3–5 working days after registration for the tournament closes. The settlement equals the fees collected, minus online payment charges (when the organizer bears them) and minus any refunds issued to players. Organizers can see the full calculation on the tournament's Payments page.

  5. Refund for unsold players

If the organizer has enabled refunds for unsold players, every player who paid online and is not sold in the auction is refunded the full amount they paid (fee plus any charge they paid) within 24 hours of the auction completing. No action is needed from the player.

  6. Refund when a player is removed

If an organizer removes a registered player (for example, on the player's request before the auction), the full amount the player paid online is refunded immediately, regardless of whether the auction has started.

  7. Who bears the charge on refunds

Players always receive a full refund. The 2.36% online payment charge on a refunded payment is not returned by the gateway, so it is borne by the organizer and deducted from the organizer's settlement.

  8. Refund timelines

Refunds are sent back to the original payment method. After a refund is initiated it usually reaches the player's bank account, card or UPI app in 5–7 working days, depending on the bank. If a refund has not arrived after 7 working days, contact us with your player ID and payment reference.

  9. Sold players and other cancellations

Fees paid by players who are sold in the auction are not refundable through Auction Champion. If a tournament is cancelled, or for any other refund request, the organizer decides whether to refund; refunds for online payments are processed through the same gateway and follow the timelines above.

  10. Bids are points, not money

Auction bids are points only. No real money changes hands during the live auction; the only money handled by the platform is the registration fee described above.

  11. Disputes and chargebacks

If you see a wrong or duplicate charge, contact us before raising a chargeback with your bank. We will investigate with the organizer and the payment gateway and resolve genuine cases by refund.

Data retention

Registration and auction data is kept for as long as the organizer's account is active so that results and reports stay available. Payment and refund records are retained for at least 8 years as required by Indian tax and accounting laws. Organizers can ask us to delete a tournament's player data after the event, subject to those legal retention requirements.

Security

Data is transferred over HTTPS, passwords are stored hashed, and access to organizer data is restricted by role. Payments are processed on Razorpay's PCI-DSS compliant infrastructure. No system is completely secure, but we work to protect your information and will notify affected users of any breach as required by law.

Your rights

Under India's Digital Personal Data Protection Act, 2023 you can ask to access, correct or delete your personal data, or withdraw consent. Contact the tournament organizer or us using the details below; we will respond within 30 days. Deleting your data after the auction may remove you from published results but does not affect payment records we must keep by law.

Players under 18

Players under 18 should register with the consent of a parent or guardian. For school tournaments, the school or organizer is responsible for obtaining that consent.
